POSITION SUMMARY
The General Motors WARRANTY ADMINISTRATOR at Ron Marhofer Chevrolet is responsible for accurately recording, submitting, and tracking warranty claims to vehicle manufacturers and distributors. This individual plays a vital role in ensuring timely reimbursement, maintaining compliance with manufacturer policies, and supporting the service team’s overall efficiency and profitability.
KEY RESPONSIBILITIES
- Submit and process warranty claims promptly for each assigned franchise or distributor.
- Verify and ensure claims meet all manufacturer/distributor guidelines and documentation requirements.
- Manage and reconcile warranty receivables, maintaining the warranty schedule and ensuring claims are processed within 30 days.
- Post warranty credits to accounting systems and resolve any discrepancies with the Service Manager and Controller.
- Resubmit rejected claims or obtain authorization for appropriate write-offs.
- Maintain updated knowledge of all factory recalls, service bulletins, and policy changes.
- File and organize service records to comply with the warrantor audit and documentation standards.
- Assist with body shop warranty documentation when needed.
- Support cashiering and telephone operator roles during high-traffic periods or absences.
- Perform additional clerical and administrative tasks assigned.
- Maintain a clean, professional work environment and present a polished appearance.
REQUIREMENTS & QUALIFICATIONS
- Experience: Previous warranty or dealership administrative experience preferred.
- Skills: Strong organizational skills, attention to detail, and knowledge of automotive service processes.
- Certifications: Must hold or obtain any required certifications and training as per dealership guidelines.
- Licensing: Valid driver’s license with insurability per dealership standards.
- Approachability – A team-first mindset, collaborating cross-functionally to serve our customers with integrity.
- Process Orientation – A focus on consistency, accountability, and compliance while always seeking opportunities for improvement.
PHYSICAL DEMANDS
- Must be able to sit or stand for extended periods (up to 8 hours).
- Light lifting may occasionally be required (up to 15 lbs).
- Regular use of computers and office equipment.
